  • Phone, email, and text communications related to scheduling and service
  • Information we receive from home warranty providers when you are assigned to us

It does not cover websites or services you don’t own (for example, your home warranty provider’s portal). Their privacy practices are described in their own policy.

We collect information that helps us identify your claim, schedule service, and keep you updated. Under California law, businesses must explain what they collect and why.

Information you provide directly

Depending on what you do on the site or how you contact us, we may collect:

  • Service location: address and ZIP code
  • Claim details: claim number / work order number, warranty provider name
  • Service details: issue description, appointment preferences, photos you choose to share
  • Messages: information you include in a contact form, email, or phone call
  • SMS consent: whether you opted in to receive text messages from us, and when

Information we receive from your home warranty provider

If your warranty provider assigns Tip Top Air, they may send us information such as:

  • Your name and contact details
  • The service address
  • Claim/work order number and dispatch details
  • Plan-related notes needed to perform the service

Information collected automatically (website usage)

When you use the site, we (or our service providers) may automatically collect:

  • Device and browser information
  • IP address (often used for security and basic diagnostics)

  • Approximate location inferred from IP (city/region level)

SMS/Text Messaging Program

If you opt in to text messaging on our website forms (by checking the SMS consent checkbox) or by other means, Tip Top Air will send you SMS/text messages related to your service, such as appointment confirmations, scheduling updates, technician arrival notices, and service follow-ups.

  • Message frequency varies depending on your service and claim activity.
  • Message and data rates may apply. Charges are billed by your mobile carrier.
  • Opt-out: You can cancel the SMS service at any time by replying STOP to any text message from us. After you send STOP, we will send a final message confirming you have been unsubscribed, and you will receive no further messages. To re-join, sign up again through our website or reply START.
  • Help: Reply HELP to any message for assistance, or contact us at wecare@tiptopair.com.
  • Consent is not a condition of purchase or service. You can receive HVAC service from us without opting in to text messages.
  • Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use cases exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

How we share personal information

We share personal information only as needed to provide service and keep your claim moving. We never sell personal information, and we never share your mobile phone number, SMS opt-in data, or SMS consent with third parties or affiliates for their marketing or promotional purposes.

With your home warranty provider

We may share updates needed to complete your claim (for example, diagnosis results, required parts, repair status, and scheduling outcomes). This sharing is limited to servicing your claim and excludes your text messaging opt-in data and consent.

With service providers who help us run our business

We may share information with vendors that support operations, such as:

  • Scheduling and dispatch systems
  • Customer support tools (phone/SMS/email)
  • Website hosting and security services
  • Analytics tools (if enabled)

These companies act as service providers/contractors (subcontractors in support services) and are contractually required to use information only to perform services for us. They may not use your information, including your mobile number or SMS consent, for their own marketing.
